Terms and Conditions
Bookings and payments1. Rooms and Facilities for Hire: Details of our rooms, facilities and the relevant rates are set out on the Church's website and in our leaflet Halls and Meeting Rooms to Hire.
Discounts are available to non-profit organisations and registered charities- further details available from the Church Office.
2. Provisional Bookings: These may be made by telephone or click here to email and held for a limited period but priority is always given to those who secure their booking with a non- refundable deposit (£20 per day).
3. Confirmed Bookings: The return of a completed Booking Form with either a non-refundable deposit (£20 per day), full payment confirms a booking (In the event of your cancelling your booking you forfeit your deposit or are liable to pay a £20 cancellation fee).
4. Payment: We prefer full payment when booking but if this is not possible a deposit of £20 per day is required when booking, the balance to be paid no later than the day of the relevant booking. If you require other terms (i.e. you operate a Purchase Order Payment System) please contact the Church Office to agree your payment arrangements.
5. Termination of booking: The Church reserves the right to terminate any bookings by a group or individual, which fails to comply with the above conditions.
6. Long-term bookings: In the case of bookings extending over a considerable period, the Church reserves the right to move a booking to a different location or, in extremis, cancel it on a particular date if an urgent and unexpected church need arises. Such re-locations or cancellations will be kept to an absolute minimum and adequate notice will be given.
Building use restrictions
1. Access to Premises: Please note the building opens at 9am and closes by 10pm. Access to the building will be available from the start time on your Booking Form. Because of other bookings you will be expected to vacate the building at the time agreed on your Booking Form. There will be an additional charge of £20* for each 15 minutes by which you over-run.
2. Sign-in / Sign-out: Depending on the nature of the booking we require either:
a) all attendees to sign in/out or
b) a person on site to be responsible for their group/booking and they should sign-in on arrival and sign-out when leaving. (In the event they are NOT last to leave another person should assume responsibility for the group and must sign-in at reception.)
3. Smoking is NOT permitted on church premises and this includes the front steps and ramp.
4. The church has a NO ALCOHOL policy.
5. Safe guarding of children: If any children or vulnerable young people are present for a booking, the hirer will be required to have a safe guarding of children policy, based on government guidelines. This Safe guarding of children policy will be checked against the church's own policy by the person responsible for lettings.
6. The use of tape or Blutack etc. is NOT permitted either on walls or the floor. Please ask at the church office if you require temporary signage to direct users about the building.
7. Bicycles: Bicycles may not be brought into the building nor may they be secured to the handrails outside. Cycle parking facilities are provided outside the church on the triangle opposite.
8. Catering: Groups may arrange for their own catering and should discuss their needs prior to booking. Use of the kitchen can be negotiated but food hygiene guidelines must be followed which may require that a suitable qualified person is in attendance. Groups requiring more extensive catering should contact the church office.

If the kitchens are used for catering, ALL RUBBISH must be bagged up and put in the large bin outside the main hall entrance at end of the hire period. No rubbish of any kind is to be left on the church premises.10. Hirers are responsible for considering the local residents when parking and moving vehicles, and are requested to minimise noise nuisance while on the premises and when leaving the accommodation.
11. The Hirer may not use flammable, explosives, illegal or dangerous substances in or near the accommodation.
12. The Hirer is responsible for the Health and Safety as well as for the good behaviour of all persons in attendance, for the full duration of the letting and until the premises is vacated. Children must always be supervised by an adult.
13. If the Hirer wishes to use the accommodation for entertainment purposes; including music and entertainment, application must be made for the hall at least 4 weeks prior to the event for approval by the church leadership committee. Approval will be on condition of an appropriate Entertainment License being obtained and produced by the hirer.
14. In the event of a serious accident, crime, injury or loss, the hirer must notify the church caretaker as soon as possible, and within 24 hours on 0208 761 0011.
15. Hirers may request a long-term booking which will then be reviewed every three-months. Cancellation by a hirer must be made in writing providing 1 months notice. Failure to comply will result in the initial deposit being forfeited. All long-term bookings will require payment 1 month in advance. Cancellation by the church leadership committee will be notified at least 2 weeks prior to the agreed dates where possible and the initial deposit will be refunded in full, subject to any damage to the room or the church's furniture and equipment for which the hirer is responsible. The church management committee accepts no responsibility for any compensation for such a decision. The church management reserves the right to enter the building any time.
16. The hirer may not sub-let to any other individual, organisation or group.
17. Hirer must have Public Liability Insurance Cover of £2 million prior to using the premises.
18. A cleaning fee of £25.00 may be deducted from the deposit if the hall is not left in a proper condition after each event.
19. Equipment stored in cupboards and drawers are property of Chatsworth Baptist Church and are not for hirer's use unless receiving written permission from the church.
